Collaborators are the team members who help you manage your restaurants on EatNow. Each collaborator gets their own account with a specific role and set of permissions.
You need the Invite collaborators permission to send invitations. Organization owners always have this permission.

Send an Invitation

  1. Go to Settings
    • In the navigation bar, click on Settings.
  2. Open Collaborators
    • Click on the Collaborators tab in the settings menu.
  3. Click “Invite a Collaborator”
    • At the bottom of the collaborator list, click the Invite button.
    • A dialog opens with the invitation form.
  4. Enter the Email Address
    • Type the collaborator’s email address. This will be their login email.
  5. Select a Role
    • Choose a role from the dropdown. EatNow provides several default roles:
    RoleDescription
    EmployeeDay-to-day operations: reservations, customers, payments
ManagerFull management access including settings and team management
Room ManagerFloor operations: reservations, floor plan, shifts, block hours
MarketingBrand & communication: portal, templates, reviews, menus, analytics
Welcome HostFront desk: reservations, customers, activity log
Read OnlyView-only access to reservations and activities
You can also select Custom to manually pick individual permissions.
  6. Choose Authorized Restaurants
    • Select which restaurants this collaborator can access.
    • The collaborator’s role applies the same way across all selected restaurants.
  7. Send the Invitation
    • Click Send to finalize.
    • An email is automatically sent to the collaborator with a link to create their account.
Tip: You can also copy the invitation link and share it manually (e.g. via WhatsApp or SMS) if the collaborator does not receive the email.

What Happens Next

  • The collaborator receives an email with a link to set up their account.
  • Once they accept, they appear in your collaborator list with their assigned role.
  • The invitation remains visible in the Invitations section until it is accepted or you delete it.

Good to Know

  • You can only assign permissions that you have yourself. For example, if you do not have the Billing permission, you cannot grant it to someone else.
  • Each collaborator needs a unique email address.
  • You can cancel a pending invitation at any time by clicking the X button next to it in the invitation list.
  • To learn more about roles and how to create custom ones, see Roles & Permissions.
